Overview: The two-year temporary Governance Administrative Assistant will function as a member of the Governance department. You will provide critical program and event support, administrative work, communication within teams, data input and analysis, and accounting support for the Governance Center. This is a 2-year grant-funded initiative focused on educator quality, substitute teaching and special education. We are currently looking to fill two (2) vacancies. _This is a full-time, two (2) year assignment._

Validate and verify for proper authorization, account number coding, and supporting documentation to comply with policy; when necessary, perform statement and account reconciliations, and resolve outstanding amounts/discrepancies. Reconcile, track and project expenditures using Microsoft Excel (or comparable) cost modeling tools, reproduce accounting reports for center colleagues, and perform other clerical accounting duties. Utilize effectively appropriate Microsoft Office Suite (Word, Excel, Teams) and Adobe (Creative Cloud) tools to execute a variety of administrative and accounting functions. Track and support contracts for services. Design and maintain relational databases, following basic data security practices and compliance requirements. Locate, retrieve, cross-reference, and assess reliability of a wide variety of information both internally and externally, including reconciliation of participant and event lists originating from various sources. Assist in meeting program-related grant application requirements, benchmarks, and timelines associated with grants; financially track agency, non-profit and foundation grants. Coordinate, schedule, set-up registration on-line virtual meetings, conferencing and collaboration platforms (e.g. Zoom, Teams, Cvent) and report on data from these tools. Provide complex conference, event and meeting planning support, including pre-conference and post-conference tasks, as well as onsite and virtual activities (20 - 500+ participants). Work with external vendors and partners to support meetings arrangements (identifying and finalizing complex event venues, catering), problem solve issues that arise, and communicate expectations with vendors. Maintain strong attention to detail and anticipate issues to shape program and event logistics. Organize and prioritize multiple assignments, demonstrating flexibility in a positive, productive manner, and identifying needs for additional support. Demonstrate professionalism and strong customer service skills in carrying out multiple responsibilities in a calm, collaborative and efficient manner under pressure. Use strong interpersonal skills and successful experience working with a variety of different working styles. Collaborate on several multi-layered projects with abstract parameters, including work with and support for highly diverse members, trainers/training teams, and staff colleagues. Support and maintain relations with outside agencies and organizations for purposes of ongoing communications, large-scale data and accounting projects, and events. Use strong and professional communication skills to compose both internal and member communications (email correspondence, e-newsletters, promotional flyers, web content). Proofread a variety of written materials for typographical, grammatical, and stylistic errors. Experience: Extensive financial and accounting experience using computerized accounting systems and strong knowledge of accounting principles and auditing procedures. General ledger accounting experience. Experience using Adobe sign. Proficiency using Microsoft Office Suite and Office 365 (Microsoft Access, Excel, PowerPoint and Word, Teams, SharePoint, and OneDrive) . Ability to design and manage relational databases (sort, import/export and reconcile) relational data with strong attention to detail. Strong organizational skills including ability to perform a high volume of work with speed and accuracy for the purpose of reporting metrics. Successful in-person and virtual experience supporting small and large conferences ranging from 20-500+ participants using various online tools, data programs and registration systems. Ability to successfully work with, learn from, communicate with, and support diverse individuals and groups which includes establishing an equity and inclusionary lens throughout the program; history of success working with communities of color or with other historically under-represented group. Experience with and commitment to special education and inclusionary practice. Demonstrated ability to keep information confidential. Ability to develop and maintain cooperative, productive workplace relationships. Must be able to travel to provide onsite event/conference support within Washington state, which may require overnight stays. Maintain professional work habits of punctuality and attendance. Demonstrate initiative and ability to effectively handle multiple assignments and be flexible with changing priorities . Pay strong attention to details; highly detail-oriented. Proven proofreading, spelling, and grammar skills. Two (2) years of administrative assistant, project support or related work.
